Position Description:
VOLO is looking for a highly organized and detail-oriented Business Development Assistant to contribute to the company’s business development, tender management and proposal activities.
The Business Development Assistant will coordinate the preparation, review and timely submission of tenders, proposals and other commercial materials issued by VOLO, maintain the company’s business development collateral and support outbound and opportunity identification activities. The role will also assist with the initial assessment of relevant business opportunities and provide selected executive support related to commercial priorities.
The position will report directly to the CEO and act as the CEO’s executive assistant for business development and commercial activities. It will require close collaboration with commercial, technical, delivery, finance, legal, HR and marketing stakeholders to gather accurate information and produce clear, professional and consistent proposals and business materials.
The successful candidate will be expected to actively use VOLO’s enterprise Claude environment, including Claude Cowork, shared skills and plugins, as part of their daily work to accelerate research, analysis, documentation and overall productivity, while remaining fully responsible for the accuracy, confidentiality and quality of the final output.
- Review and analyze RFQs, RFIs, RFPs and tender documentation;
- Identify submission requirements, deadlines, evaluation criteria, mandatory documents and potential risks;
- Coordinate the preparation and timely submission of complete bid and tender packages;
- Maintain the bid calendar and ensure that all internal and external deadlines are met;
- Own and monitor relevant tendering and procurement platforms;
- Coordinate with technical, delivery, finance, legal, HR, marketing and other stakeholders to gather the information required for proposals;
- Prepare and format technical and financial proposals, company profiles and other business development materials based on inputs provided by the relevant stakeholders;
- Maintain an organized and up-to-date repository of company collateral, including company profile, case studies, client references, CVs, certifications, policies, compliance documents and standard proposal content;
- Support outbound business development activities, including prospect research, outreach and meeting coordination;
- Conduct the initial stage of opportunity qualification by gathering information about the prospect, business need, budget, timeline and decision-making process;
- Maintain accurate information about prospects, opportunities, proposals in the company’s CRM.
What You Need to Have:
- Experience in the software development, technology, consulting or professional services industry;
- Hands-on experience in business development support, bid or tender management, proposal preparation, sales operations, project coordination, executive support or a similar role;
- Excellent written and spoken English. German language skills are considered a strong advantage;
- Familiarity with CRM systems and sales pipeline management;
- Practical experience using AI tools for research, analysis, document preparation and productivity;
- Ability and willingness to quickly learn and actively use tools such as Claude Cowork;
- Strong research, analytical and information-management skills;
- Ability to prepare clear, structured and professionally formatted documents and presentations;
- Ability to manage multiple priorities and deadlines simultaneously;
- Ability to prioritize effectively and maintain accuracy during high-peak periods when several deadlines overlap;
- Strong organizational, coordination and follow-up skills;
- High level of attention to detail.
